IT Operations Recommendations

Complete: Staff Pediatrics IT at levels comparable to other School of Medicine IT units

An existing open device support position was filled and a systems engineer position was added to the Pediatrics IT unit.

Complete: Migrate from the local “pedom” domain to the UW-IT NetID domain

All department computers and systems have been moved to the UW NetID domain.

Complete: Implement service/request management system

A service request management and inventory tool was implemented to service IT requests and manage IT inventory.

Complete: Partner with other IT groups to provide device management solutions

Pediatrics IT is actively partnered with the School of Medicine’s Department of Surgery and Anesthesiology & Pain Medicine’s TechDesk to utilize existing tools to centrally manage Department of Pediatrics Windows and MacOS computers.

Complete: Publish IT service catalog and knowledgebase

The IT service catalog and knowledgebase is published.

Complete: Request access for Pediatrics IT to common end user systems at SCH to support and evaluate integration with UW Pediatrics systems

Pediatrics IT has user access to basic SCH systems including the SCH Microsoft suite, email and VDI.

Pending Start: Establish a formal relationship with the SCH IT

This project has not been started pending completion of other projects.


User Device Recommendations

Complete: Establish a computer depot

The Computer Depot Program has been implemented.

Complete: Establish a sustainable computer replacement cycle

A maximum 5 year replacement cycle is implemented via the Computer Depot Program.


Data Protection Recommendations

Complete: Adopt UW OneDrive sync to protect local folders on computers

UW OneDrive was implemented in the department during the move to the UW NetID domain and folder sync instructions are available to the Pediatrics community.

Complete: Adopt UW CrashPlan for instances where is not appropriate or inadequate

UW CrashPlan subscriptions are available for purchase through Pediatrics IT for labs or projects requiring full device backup.


Administrative Information Management Recommendations

Pending Start: Consider a non-IT led LEAN project beginning with one business unit to reduce email burden by encouraging consistent use of Teams and provide standard policies and procedures across all divisions for information management.

A formal project has not been started although Microsoft Teams adoption has significantly increased.


Research Computing Recommendations

In Progress: Develop a funding model for research computing infrastructure and services

This project is in progress.

In Progress: Develop a transition plan to move Pediatrics research computing into another UW or UW Medicine platform

Efforts to move to UW Hyak are in progress.

Complete: Consider end-device computer provisioning model that can augment research computing capabilities

This is addressed via the Computer Depot Program.


A/V Infrastructure Recommendations

Complete: Upgrade department-managed conference spaces for modern video conferencing

Addressed via a new conference room and the newly created Pediatrics Community Hub spaces.


IT Governance Recommendations

Complete: Create an IT service catalog

The Pediatrics IT service catalog has been created.

In Progress: Develop IT policies and procedures that enable compliance with UW APS and UW Medicine information security policies

Written policies are in development, however, we are complying with UW and UW Medicine policies through the use of computer management tools and system policies that enforce settings in alignment with UW and UW Medicine security policies.


Web Management Recommendations

Pending Start: Develop web policies

This project has not been started.

Complete: Separate web management as a non-IT role

Marketing and Communications now manages the main department website. Service catalog entries exist for circumstances where the main website is not a good fit.

Pending Started: Delegate content management

This project has not been started.

In Progress: Consider outsourcing hosting infrastructure

Options have been investigated and many legacy sites are moving to sites.uw.edu, Pantheon, or being decommissioned.
